VLADA / STAFF PORTAL

One Portal for Your Entire Team

Your staff sees exactly what they need for the day, their shift, their jobs, their tasks and their pay, without searching through multiple apps.

The Staff Portal is the employee-facing part of VLADA, an AI Business Operating System. Work logged here updates the Customer Portal and the Owner Command Center at the same time.

What your team gets

  • Clock in / clock out. Time tracking tied to the schedule and visible to the owner.
  • Schedule. Today's shift and the week ahead.
  • Assigned jobs. Each job with its status, location and details.
  • Tasks and checklists. The steps each job needs, checked off as they happen.
  • Job progress. Status updates that flow straight to the customer portal and the owner dashboard.
  • Earnings. Hours and pay information appropriate to your payroll setup.
  • Documents. Job paperwork, photos and forms attached where they belong.
  • Messages. Team communication kept with the work, not lost in group chats.
  • Performance. Completed jobs and simple personal stats.

Why one screen matters

When the schedule lives in one app, tasks in another and messages in a third, work waits on people switching tools. A single portal means a technician opens one screen in the morning and knows the day. When they mark a job step done, the customer sees progress and the owner sees status, with no extra typing.

Built around your workflow

Roles, permissions and screens are configured per company during the build. A shop floor team, field crew and front office can each get a different view of the same system.

An employee's day in the portal

  1. Clock in. The shift starts on the record, and the owner's dashboard shows who is on.
  2. See the day. Today's jobs or stops in order, with the customer, the address, the notes and the checklist, no calls to the office for details.
  3. Work the checklist. Tasks are ticked as they happen, so progress is visible without anyone asking.
  4. Photos onto the record. Pictures taken on the job attach to that job, not to a camera roll.
  5. Message the office in context. Questions and updates stay attached to the job they are about.

Why owners feel it immediately

Common questions

Does it work on phones?

Yes. The portal is designed for phones first, since that is what most teams carry.

Can we limit what each employee sees?

Yes. Access is role-based; each person sees their own schedule, jobs and pay information.

Does clock-in data reach payroll?

Time data can be connected to payroll tools where your build supports it. What is connected is agreed during the mapping session.

Can staff upload photos and documents?

Yes, where your workflow calls for it: before and after photos, signatures and forms attach to the job.

Will the team need training?

The portal shows each person only their own day, which keeps it simple. Most teams are comfortable within a shift or two.

Can managers see the whole team?

Yes. Manager roles can see schedules, job status and clock-ins across the team.

Does it work on any phone?

Yes. The Staff Portal is a web app that runs in the browser on any modern phone; there is nothing to install or update.

Can I control what employees see?

Yes. Each role sees its own jobs, tasks and documents. Pay, customer financials and company numbers stay in the owner's view unless you choose otherwise.

What happens when the schedule changes mid-day?

The affected employees see the change in their portal immediately, and where messaging is connected, they are notified. Nobody drives to the wrong job.
