What customers see
- Project status. The current stage of their job, in plain words.
- Progress tracking. A step-by-step tracker from intake to completion.
- Next steps. What happens next and when, so expectations stay set.
- Documents. Quotes, authorizations and paperwork in one place.
- E-signatures. Approvals signed from a phone, recorded with the job.
- Payments. Balance, deposits and payment from the same screen.
- Messages. A direct line to your team, kept with the project.
- Notifications. Automatic updates when the status changes.
- 24/7 access. The portal answers at midnight so your phone does not have to.
Fewer status calls, better reviews
Most inbound calls in a service business are some version of “where is my project?”. A portal answers that question before it is asked. Customers who can see progress trust the process, and your team spends its time on work instead of updates. Status changes made in the Staff Portal or by automations appear to the customer instantly.
Part of one system
The customer portal is one face of the same VLADA system that runs your Owner Command Center and staff tools, so nothing is retyped and nothing gets out of sync.
What happens the moment a customer logs in
- They see their job, not a login maze. One branded page: current stage, next step, who is assigned, and when.
- They approve and sign online. Estimates and authorizations get an e-signature in the portal, and the signed document stays on the job record.
- They watch the stage change. When your team moves the job forward, the portal updates and a notification goes out, before the customer thinks to call.
- They see photos and documents. Work photos, invoices and paperwork live with the job, not in a text thread.
- They pay where configured. Balance and payment on the same page, with the receipt recorded.
The work it removes from your office
- "What's happening with my job?" calls drop, because the answer is already in the customer's pocket. See it in context on the auto repair, roofing and rental fleet pages.
- Chasing signatures stops being a phone-tag project; unsigned documents surface on the owner's needs-attention list in the Owner Command Center.
- Update texts nobody remembers to send are handled by automations, on rules you approve.
Common questions
Is the portal branded to our company?
Yes. The portal carries your company name and look. VLADA is the system underneath.
Do customers need to install an app?
No. The portal works in the browser on any phone or computer.
Can we choose what customers see?
Yes. What each portal shows is decided with you during the build: stages, documents, payments and messaging are all configurable.
Can customers pay through the portal?
Payment display and collection depend on the payment tools connected in your build. Where supported, customers can see their balance and pay from the portal.
What about customers who will not use a portal?
Nothing is taken away. Phone and email still work; the portal removes the routine calls from the people who prefer self-service.
Is customer data secure?
Portal access is per-customer and per-project. Data is encrypted in transit and at rest.
Is the portal branded to my company?
Yes. Customers see your company name and branding, not VLADA's. VLADA is the system underneath.
Do customers need to install an app?
No. The portal is a web page that works on any phone or computer; customers follow a link and log in.
What if a customer calls anyway?
Your team sees the same live job record the customer sees, so the answer takes seconds, and the conversation is logged with the job.
